Role and Purpose

The Bid Coordinator takes overall responsibility for the management of bid responses from receipt of the RFP (Request for Proposal) to delivery, freeing the Business Development Director to concentrate on lead identification and creation.The role is full-time in-house at our Sheffield studio. 


  • Ensure all involved parties of the RFP process are assembled and managed via scheduling and tracking tasks, to make sure the RFP is completed on time
  • Maintenance of a bid response tracker, and the production of a weekly executive summary
  • Organisation of the bid response initial review meeting ensuring all team members are identified and and timescales agreed. Ensure that actions are taken and distributed, organise final review meetings. Ensure all actions are closed or escalated to management, and confirm bid submission – update tracker through this process
  • Facilitate client conference calls and meetings
  • Track progress of the bid response and escalate any key issues which jeopardise timely and accurate submission to management
  • Produce any and all bid related data identified, such as win/loss analysis, bid by work type / commercial model / customer etc (to be defined)
  • Collate and produce pitch materials for review and subsequent delivery to the customer
  • Implementation of Basecamp (or something similar) as a tool to make us more efficient in responding to RFPs in a timely manner
  • Set out the timings that the relevant people need to work to so we can deliver a response within a date that has been requested by the potential client
  • Work with Business Development Director to make sure all enquiries from 3rd parties are tracked

Skills Experience and Qualifications

  • Ability to write engaging, positive copy for inclusion in bid repsonses
  • Articulate and well presented with a professional manner, able to communicate at all levels
  • Highly organised with a pro-active work ethic
  • Ability to work independently and under pressure
